Regulations on employment, wages and social insurance change exceptionally often in Poland. For employers, this means the need for constant monitoring of changes – otherwise it is easy to unknowingly breach the law, which can result in a dispute with an employee or an inspection.
The minimum wage and its impact on other benefits
The level of the minimum wage affects not only the lowest-paid employees, but also a range of other indicators: the night-work allowance, the minimum contribution base for certain groups, and the amounts exempt from wage deductions. Every update to the minimum wage requires a review of payslips and remuneration policies.
Employee documentation and electronic personnel files
More and more HR documents can be kept in electronic form, which for companies without their own HR department means an opportunity to organise their archives and reduce the cost of storing paper documentation. However, this requires implementing appropriate safeguards and procedures for storing personal data.
Remote and hybrid work in company policies
Companies that have permanently introduced remote or hybrid work should reflect this in their internal policies and in agreements with employees – including rules on reimbursement for the use of private equipment and utilities.
What's worth doing now
Instead of waiting for an inspection or a dispute with an employee, it's worth carrying out a short quarterly review: checking that contracts, policies, deduction amounts and ZUS filings are up to date. This makes it possible to catch outdated provisions before they become a problem.
